Tuesday September 23, 2008

Call to Order: Sheila Elser called the meeting to order and Fr. Mark led the opening prayer following a tour of the new parish center conducted by Fr. Mark prior to the beginning of the meeting.

Treasurer’s Report:

Paula Waller submitted the Treasurer’s report detailing the deposits and spending of the PTF general checking account. Ending balance in the account as of September 23, 2008 was $8,663.69. (See separate detailed report attached). Becky Wolf made motion to accept the Treasurer’s report and _____ seconded the motion. Report accepted.

Principal’s Report:

Mr. Hodapp, Principal, discussed the results of the magazine drive stating that we exceeded the established sales goal and there will be no school on November 10th to celebrate. Grades 1 and 8 won the competition for per capita sales and will be rewarded with an ice cream party provided generously by the Freeburg Dairy Queen. Twenty-seven students earned the limo lunch which will be held on October 15th at Breadeaux in Millstadt. Mr. Hodapp also announced that Dairy Queen has provided Blizzard coupons which will be given to students with perfect attendance for each quarter. The next Big / Brother /Sister activity is scheduled for Friday and will be an exercise to demonstrate how Mary and Joseph are examples of how we should all trust in God. October is the month of the Holy Rosary and the word of the month for character education is: Responsibility. Iowa testing begins Oct. 1 for grades 2 – 8 and a note will be going home to remind parents. Mr. Hodapp concluded his report by thanking parents and volunteers for all that they do to support students and teachers and the school. Motion to accept the Principal’s report was made by Randy Elser, 2nd by Laurie Hill. Report accepted.

Teacher’s Report:

In lieu of a teachers’ report, a presentation was made by guest speaker Jeff Bridges to demonstrate interactive “smart” boards for the classrooms. The teachers had previously requested that the PTF consider purchasing these boards for use in the classrooms to improve the learning environment for all students. The presentation was held in the 7th grade classroom. Everyone in attendance seemed to enjoy the presentation. All present were invited to participate in using the equipment and to ask questions.

Discussion: After the presentation, the PTF returned to the 8th grade classroom to continue the meeting and discuss the purchase of Promethean boards. Sheila Elser shared the details of the quoted price of the boards and a promotion which would provide a free board with the purchase of 6 boards. She explained that the funds to cover the cost of the 6 boards are available in the auction account and are made up of monies left over from the last dinner auction. Sheila also explained that she has prepared a budget for the PTF including recurring fundraising income and expenditures that shows an estimated balance of approximately $9,000 at the end of the year if the same activities are continued as in prior years. There was a question raised regarding the ability to spend the auction monies on such a purchase referring to the original by laws of the auction event. It was again clarified that the auction profits were to be spent for the benefit of the school as requested by the faculty in accordance with the original by laws. There was much discussion regarding the merits and uses of the boards and lesson plans included in the software as well as teachers’ ability to create their own lesson plans. The teachers were asked if they could envision using the boards regularly and all the teachers present were positive in responding that they would use the boards and that the students would respond positively. Marie Davis asked if Mrs. Chaput didn’t also want a board since she would be the only one without one. It was noted that she did express interest and would like to attend training now to be up to speed if she was able to get a board in the future. Marie proposed that we consider a second separate motion to purchase an additional board for the kindergarten room using funds in the TWB account if they were available. Sheila explained that there are sufficient funds currently in the TWB account which could be used to purchase a board for kindergarten and that those monies would be replaced fairly quickly with regular TWB sales. A few clarifying comments regarding what specific items were included in the proposal were made and it was noted that the proposed purchase included boards, projectors and software, two installations to be observed by a St. Joes representative who will install the remaining boards and free training by Promethean for the teachers. Marie Davis made motion to vote and Becky Wolf 2nd the motion. A vote of all present resulted in unanimous approval to purchase the boards. A second vote was taken regarding purchase of an additional board for the kindergarten class using TWB funds and was also unanimously approved.

Committee Reports:

Dinner Auction: Randy Elser reminded everyone that the date of April 18th has been established for this year’s dinner auction which will have a Tuscan theme. Requests for volunteers will be made in November.

Dinner / Restaurant Nights: October 10th is Tequila’s Night. PTF will receive 20% of all sales and the patio will be available. Look for a note in the next brown envelope. A suggestion for a breakfast at Applebee’s was made, but it was noted that it would require teachers and/or parents to volunteer as servers. PTF would receive 100% of the profits. Several teachers agreed to volunteer for the event which will be planned later in the year.

Family Fun Nights: Carol Schanuel presented information for a skating party at Fun Spot. Cost for the rink is $175 + $2 skate rental. PTF charges an admission price and keeps all of that as profit. The first available date is Oct. 30th which is the same day as the all school Halloween party and Parent-Teacher conferences. It was decided to postpone the skating party until later in the year. Carol will follow up with other optional dates.

Adjourned: Fr. Mark made a few comments prior to the end of the meeting noting that the Parish Center is scheduled to be finished mid-October and there will be plenty of help needed to move furniture and equipment to the new space. A dedication is planned for November 16th with the Bishop expected to attend mass and dedicate the building. An informal reception with cookies and punch is planned. Everyone was thanked for attending and for voting to make such a significant contribution to the school. Meeting was adjourned.
